2. What data do we collect?
We only collect the data necessary for the purposes described below.
a) When you use the contact / needs qualification form
We may collect:

- your professional email address;
- your telephone number;
- the name of your company;
- your job title;
- your function within the company;
- your priority challenges;
- any message or additional information that you choose to provide to us;
- technical security information, including information relating to anti-bot mechanisms.
b) When you book a meeting
Through our appointment-booking tool, iClosed, we may collect:
- your first name and last name;
- your email address;
- the name of your company;
- the information necessary to organise and follow up on the meeting.
c) When you apply to join the Greenlancers collective
We may collect:
- your first name and last name;
- your professional email address;
- your telephone number;
- the name of your company;
- your SIRET number;
- the link to your LinkedIn profile or website;
- your areas of expertise;
- technical information relating to the security of the form.
We ask that you do not provide any sensitive or unnecessary data in free-text fields.
3. Why do we use your data and on what legal bases?
We process your data for the following purposes.
a) Responding to your requests and qualifying your needs
When you contact us via the website, we use your data to:
- respond to your request;
- understand your challenges;
- prepare a relevant discussion;
- ensure appropriate commercial follow-up where relevant.

- where applicable, include you in our pool of experts.

d) Keeping your profile in our pool and sharing it in a targeted manner for opportunities
If you wish to be identified for future opportunities, we may keep your profile in our talent database and, where relevant, share certain information with:
- Greenlancers clients;
- certain authorised experts or members of the Greenlancers network,
strictly for the purposes of identifying, assessing or preparing a potential assignment opportunity.
Legal basis: your consent, where required, and/or GREENLANCERS’ legitimate interest in structuring its network of experts, subject to clear information and targeted, proportionate sharing.
e) Ensuring website security and preventing abuse
We use certain technical tools, including anti-bot and security mechanisms, to protect the website, its forms and its users.

f) Measuring website traffic and improving website performance
We may use audience measurement tools in order to improve the website, understand how it is used and optimise its performance.

4. Recipients of the data
Your personal data may be accessed, within the limits of their respective responsibilities, by authorised persons within GREENLANCERS, including the founders and, where applicable, authorised persons or collaborators involved in processing requests, applications, commercial relationships or operations.
Your data may also be disclosed to our technical service providers, in particular for:
- website hosting;
- form management;
- appointment booking;
- professional email services;
- CRM and internal tool management;
- audience measurement and security.
For freelance applications, certain data may also be shared, in a targeted and strictly necessary manner, with clients or authorised experts from the Greenlancers network, where justified by an assignment opportunity.
5. Tools and service providers that may be involved
Depending on the features used, GREENLANCERS may rely in particular on:
- WordPress for the website;
- Tally for certain forms;
- iClosed for appointment booking;
- Google Workspace for email and certain collaborative tools;
- Notion for certain internal and follow-up purposes;
- Google Analytics if audience measurement is enabled;
- IONOS for website hosting.
6. Transfers of data outside the European Economic Area
Some of our service providers, or some of their sub-processors, may be located outside the European Economic Area, in particular in the United States.
In such cases, GREENLANCERS ensures that such transfers are governed by appropriate safeguards, such as the European Commission’s Standard Contractual Clauses, and more generally by the mechanisms provided for under applicable regulations.
7. Data retention periods
We do not retain your data for longer than is necessary for the purposes pursued.
As a general rule:
- Contact requests and non-client prospects: up to 3 years from the last contact initiated by the data subject;
- Data relating to appointment booking: for the time necessary to organise the discussion, then, where applicable, in accordance with the rules applicable to the commercial relationship;
- Unsuccessful freelance applications: for the period strictly necessary to review the application, then, if the profile is kept in a talent pool, up to 2 years from the last contact, unless earlier erasure is requested;
- Data necessary for the performance of a contractual relationship: for the duration of the relationship, then archived for the applicable statutory retention periods;
- Technical data and security logs: for a limited period proportionate to security and evidentiary needs;
- Cookies and trackers: depending on their nature and your choices, within the limits provided for by applicable regulations.
8. Cookies and other trackers
The website uses trackers that are strictly necessary for its operation and security.
The website may also use audience measurement trackers. Where consent is required, these trackers are only placed after your choice has been collected via the cookie banner or the dedicated module provided for this purpose.
Where such trackers are used:
- your choice may be retained for 6 months;
- the lifetime of audience measurement trackers does not exceed 13 months;
- the data collected for this purpose is retained for a maximum of 25 months, subject to the configuration actually implemented.
